Job Summary:

 

The Inventory Administrator is responsible for overseeing and managing the inventory of products and supplies within the company. This role ensures accurate inventory records, monitors stock levels, and works closely with other departments to maintain efficient inventory control processes. The Inventory Administrator will use various inventory management software and systems to track and manage inventory data.

Key Accountabilities

Key Responsibilities:

  • Inventory Management:
    • Maintain accurate inventory records by conducting regular physical counts and reconciling variances.
    • Monitor inventory levels and reorder points to ensure adequate stock availability.
    • Update and manage inventory databases and software systems.
    • Ensure the accuracy of product descriptions, quantities, and locations in the inventory system.
  • Receiving and Shipping:
    • Oversee the receiving of products, ensuring they match purchase orders and are correctly entered into the inventory system.
    • Coordinate the shipping of products, ensuring accurate documentation and timely delivery.
    • Work with suppliers and logistics partners to resolve any discrepancies or issues.
  • Stock Control:
    • Implement and maintain effective stock control procedures to minimize losses and maximize efficiency.
    • Conduct regular audits of stock to identify and resolve discrepancies.
    • Analyze inventory data to identify trends and make recommendations for improvements.
  • Reporting:
    • Generate and distribute regular inventory reports to management.
    • Provide detailed analysis of inventory levels, turnover rates, and other key metrics.
    • Assist in the preparation of reports for audits and compliance purposes.
  • Coordination and Communication:
    • Liaise with other departments, such as Sales, Purchasing, and Production, to ensure accurate forecasting and inventory planning.
    • Communicate inventory issues and updates to relevant stakeholders.
    • Train and support staff in inventory control procedures and systems.
  • Compliance:
    • Ensure compliance with company policies, procedures, and regulations related to inventory management.
    • Maintain a safe and organized work environment.

Qualifications

Qualifications:

  • Education:
    • Bachelor's degree in business, logistics, or equivalent; or a related field preferred.
  • Experience:
    • Proven experience in inventory management, warehouse operations, or a related field.
    • Experience with inventory management software and systems (e.g., ERP, WMS).
  • Skills:
    • Strong organizational and time management skills.
    • Attention to detail and accuracy in data entry and record-keeping.
    • Excellent communication and interpersonal skills.
    • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Physical Requirements:
    • Ability to lift and move heavy items (up to 50 lbs).
    • Ability to stand and walk for extended periods.
    • Ability to travel, especially for yearend audit.
