Executive Assistant and Office Manager:

 

Job Purpose

 

This role will provide administrative support to the executive team and manage daily office operations.

Key Accountabilities

Duties:

  • Support executive (NAHQ President) capacity by handling a wide variety of situations involving the administrative functions of the office that cannot be brought to the attention of the executive
  • Under supervision of Corporate Director of HR, advise individuals inside and outside the organization on the executive views on major policies or current issues facing the organization
  • Contact or reply to contacts from high ranking individuals who may be from large national or international firms and may involve unique situations, and each contact must be handled differently, using judgment and discretion
  • Organize and arrange for staff members to represent organization at meetings and conferences, using own initiative
  • Note commitments made by executives during meetings and arrange for staff implementation
  • Read outgoing correspondence for executive approval and alert writers to any conflicts or departure from policies or executive's viewpoints
  • In executive's absence, ensure that requests for action or information are relayed to the appropriate staff member
  • Interpret requests, help implement action, and decide whether executive should be notified of important or emergency matters as needed
  • Analyze unit operating practices, such as record keeping systems, forms control, office layout, suggestion systems, personnel and budgetary requirements, and performance standards to create new systems or revise established procedures
  • Prepare reports including conclusions and recommendations for solution of operational and administrative problems
  • Under guidance of the Corporate Director of HR, issue and interpret operating policies related to office management
  • Coordinate collection and preparation of operating reports, such as budget expenditures, and statistical records of performance data
  • May compose and sign correspondence for executive
  • May serve as the executive's representative at meetings and express the executive's viewpoints at such meetings

Qualifications

Qualifications:

  • Bachelor's degree in business administration or related field preferred
  • At least 3 years of experience in an executive assistant or office manager role - Strong organizational and time management skills - Excellent written and verbal communication skills - Ability to work independently and take initiative - Proficiency in Microsoft Office Suite If you are a self-starter who thrives in a fast-paced environment, we encourage you to apply for this exciting opportunity.
